For large rooms, confirm sightlines, camera relay and whether a presenter monitor is available.

## Audio and visual

Final technical requirements depend on the agreed concept. Typical needs may include:

- One wireless headset or handheld microphone
- Playback connection for backing tracks where required
- Soundcheck before doors or during an agreed technical window
- Screen or projection only if the concept includes visual material
- Stage lighting sufficient for clear visibility and safe movement

The organiser should provide the venue’s technical contact and current room plan before the final brief.

## Access and safety

The organiser and WELI will discuss:

- mobility, hearing, vision and sensory access;
- participation choices for seated, standing and low-movement audiences;
- audience age range and safeguarding requirements;
- cultural, community or First Nations considerations;
- venue evacuation, floor and equipment constraints;
- photography, filming and consent expectations.

Participation is invitational, not compulsory. The host should never shame, single out or pressure an attendee.

## Schedule

The organiser should provide:

- event date, venue and arrival instructions;
- programme run sheet;
- access time and soundcheck window;
- stage manager or producer contact;
- dress, branding and content requirements;
- departure and pack-down constraints.

## Content and approvals

If the interlude references the event theme, research, community or sponsor, the organiser must provide approved source material and any pronunciation, sensitivity or attribution requirements. WELI retains creative responsibility for the performance while incorporating reasonable brief and access requirements.

## Recording and publicity

Photography, video, livestreaming, reuse and attribution must be agreed before delivery. No attendee image or recording should be used without the organiser’s required permissions.

## Travel and production

Travel outside the agreed service area, accommodation, additional rehearsals, external musicians/dancers, original production, weekend/public-holiday delivery and substantial custom research may be quoted as additional items.
